WayDoc Privacy Policy

1. Introduction

This Privacy Policy explains how the WayDoc service (waydoc.app) (hereinafter — "we", "our service", "Company") collects, uses, stores, and processes users' personal data when using the website, mobile application, API, and other related features. By using our service, you confirm your agreement with this Policy and grant permission to process personal data in accordance with the Law of the Republic of Belarus "On Personal Data Protection" dated 07.05.2021 No. 99-Z.

2.1. Registration and identification data

When creating an account or using the service, you may provide:

  • last name, first name, patronymic;
  • organization name;
  • company accounting data (UNP, OKPO, VAT payer status if applicable);
  • email address;
  • phone number;
  • account credentials (login, password — stored encrypted);
  • account settings, integration parameters, and system connections.

This data is used to identify the user, provide services, and ensure security.

2.2. Uploaded document data

Users may upload invoices, waybills, acts, receipts, and other documents. We process:

  • document photos, PDF files, and other uploaded formats;
  • all information contained in the document, including: seller and buyer data; amounts, VAT, dates, currency; details, document numbers; list of goods and services; quantity, cost, notes, signatures, and other data.

This information is used exclusively for document processing and accounting automation.

2.3. App permissions and device technical data

Camera — used only for photographing documents. Video stream is not recorded or shared with third parties.

File access — used to upload documents from the device.

Device technical data — we may collect: device model and type; IP address; language and region settings; app error and crash logs. This data helps ensure service stability.

2.4. Analytics data

The service may use analytics tools (e.g., Google Analytics / similar in-house tools) that collect: general usage statistics; pages visited; session duration; device type. This data is anonymized and used only to improve the service.

2.5. Cookies

The website uses technical cookies (for proper service operation) and analytics cookies. Users can disable cookies in their browser.

3. How we use your data

Personal data is used to:

  • process and recognize uploaded documents;
  • transfer processed data to accounting systems;
  • improve service quality;
  • provide technical support and error diagnostics;
  • comply with legal requirements;
  • communicate with the user.

4. Legal grounds for processing

We process data based on:

  • contract performance necessity;
  • legitimate interests (ensuring security and service quality);
  • protection of the operator's legitimate interests;
  • legal requirements, including accounting document retention.

5. Transfer of data to third parties

We do not sell or transfer personal data to third parties, except in the following cases:

5.1. Service providers

We may transfer data to the following categories of recipients:

  • cloud and hosting providers (e.g., AWS);
  • analytics and monitoring systems;
  • IT contractors for service maintenance and support;
  • security, error diagnostics, and stability tools;
  • organization data verification services, tax numbers, VAT codes (e.g., VIES and local RB registries);
  • accounting or information systems chosen by the user.

All providers work under data processing agreements and may not use data for other purposes.

5.2. Accounting system integrations

If the user activates an integration, document data may be automatically transferred to selected accounting systems.

5.3. Government authorities

We are required to provide data upon official request from: courts; investigative authorities; tax authorities; other authorized bodies of the Republic of Belarus.

6. Data storage and security

  • data is stored on secure servers (EU or RB depending on service infrastructure);
  • encryption is used for data transmission (HTTPS/TLS);
  • data access is limited to authorized employees;
  • security audits and checks are conducted regularly;
  • documents are stored only as long as required by the user or law.

7. Retention periods

Data is stored:

  • while the account is active;
  • for periods established by the legislation of the Republic of Belarus;
  • until consent is withdrawn or deletion is requested (where permitted by law).

8. User (data subject) rights

In accordance with RB law, you have the right to:

  • receive information about data processing;
  • request data correction;
  • withdraw consent;
  • request cessation of processing;
  • receive information about data transfers to third parties;
  • file complaints with the authorized personal data protection authority.

9. Restrictions for minors

The service is not intended for persons under 18 years of age. We do not knowingly collect data from minors.

10. Policy changes

This Policy may be updated. The current version is always published on waydoc.app.
